What we collect and why

Short version: we collect what we need to review your website, run your site and bill you. We don’t sell any of it.

Website reviews

When we prepare a review of a business’s website, we look only at public information: the website itself, its public DNS records, Google results and public directory listings. To open a review, we ask for an email address. We record that address, the time, and the browser’s IP address, so we know the review was seen and can send a link back to it. We may follow up once by email about the review.

How we find and contact businesses

We find local businesses by reviewing public business listings and the websites they link to. For a business that looks like a fit, we run an automated review of its public website and send one email about it, through an email service called Instantly. Every email has a way to opt out. If you opt out or ask us to stop, we pause all contact with you and your business. If you want to talk, you can book a call through Cal.com, which collects the name, email and time you choose.

We keep this information about prospects for 12 months, unless the business becomes a customer. We keep a note of anyone who opts out so we don’t contact them again.

Cookies

The review page sets one cookie so you don’t have to re-enter your email for 180 days. The customer setup pages and the admin area use cookies only to keep you signed in. We don’t use advertising cookies.

We use Google Analytics on shipshapeweb.com, with IP anonymization on, to see which pages get visited. It sets analytics cookies and sends us no names or email addresses. To opt out, turn off cookies or tracking in your browser, or install the Google Analytics opt-out add-on. The admin area is not measured.

Payments

Card payments are handled by Stripe. We never see or store your full card number. Stripe sends us your name, email, the last four digits of your card and the subscription status so we can run your account.

Email

Receipts, setup instructions and support replies are sent through Resend. Outreach emails go through Instantly, and call bookings through Cal.com. When you email support, your message is stored so we can act on it and keep a record of what was changed on your site.

Hosting and DNS

Customer websites are served through Cloudflare, which processes visitor IP addresses to deliver pages and block attacks. We see aggregate visit counts, not individual visitors.
